Privacy Policy

1. Scope

This Privacy Policy applies to information handled by NorthWorx, operated by Ian Gladkowski in Pennsylvania, United States, through northworxhq.com, the client portal at app.northworxhq.com, and related services and communications (collectively, the “Services”).

Depending on how you use the Services, different parts of this policy may apply. The Services include website and online-presence work, Google Business Profile support, reputation management, customer relationship management, scheduling, email, telephone and SMS communications, AI-assisted automation, lead follow-up, social media support, and other business-growth services.

This policy does not govern a client’s own privacy practices, third-party websites, or services that display their own privacy notice.

2. Information we collect

Information you provide

We may collect your name, business name, email address, telephone number, mailing or service-area information, account details, project requirements, support requests, messages, files, approvals, billing information, and any other information you choose to provide.

Service and business data

When providing Services, we may process business records, lead and customer information, appointment details, communications, reviews, website content, social content, call or message metadata, form responses, workflow data, and access credentials or permissions that a client makes available for an approved purpose.

Information collected automatically

Our hosting, security, portal, and communications providers may automatically process IP address, browser and device information, timestamps, referring pages, requested pages, diagnostic logs, security events, account activity, and cookie or session identifiers needed to deliver and protect the Services.

Information from other sources

We may receive information from a client, an authorized team member, public business listings, referral sources, social networks, identity providers, HighLevel/LeadConnector, and other service providers or integrations a client authorizes.

3. Google Sign-In and Google user data

If you choose Sign in with Google for the client portal, we may receive basic account information such as your name, email address, profile image, and a Google account identifier, depending on the permissions you grant. NorthWorx does not receive your Google password.

Google, HighLevel/LeadConnector, and other identity or infrastructure providers may process authentication, account, and session information to establish and secure portal access. We request only the minimum permissions needed for the feature you choose.

We use Google user data only to provide and secure the requested account or feature. We do not sell Google user data, use it for unrelated advertising, or transfer it except to service providers acting for us, when the user directs or consents to the transfer, for security or legal reasons, or as otherwise permitted by applicable Google API policies and law.

You may review or revoke Google account access through Google’s third-party connections page. You may also request deletion of Google-derived account data by emailing ian@northworxhq.com. Revoking access may prevent you from using Google Sign-In until you choose another available login method.

4. How we use information

We may use information to:

• provide, configure, personalize, maintain, and improve the Services;
• create and secure accounts, authenticate users, and prevent fraud or misuse;
• communicate about inquiries, projects, appointments, support, billing, service updates, and relevant offers;
• build, operate, and measure approved websites, CRM workflows, follow-up systems, automations, and business processes;
• prepare drafts, recommendations, analysis, and other AI-assisted work for human review;
• process transactions and maintain tax, accounting, consent, and business records;
• enforce agreements, protect rights and safety, comply with law, and resolve disputes; and
• create aggregated or de-identified information that does not reasonably identify an individual.

5. SMS and telephone communications

If you provide a telephone number and opt in or otherwise give legally sufficient permission, NorthWorx may call or text you about inquiries, appointments, project updates, support, account notices, service reminders, lead follow-up, and promotional offers. Consent to marketing texts is optional and is not a condition of purchasing any goods or services. Message frequency varies. Message and data rates may apply.

Reply STOP to cancel marketing text messages and HELP for help. You may also contact ian@northworxhq.com or 570-828-9390. After an opt-out, we may send a final confirmation and may continue nonmarketing communications permitted by law, such as account, security, support, or transaction messages. Carriers are not liable for delayed or undelivered messages.

6. Email communications

We may send transactional or relationship emails about inquiries, accounts, projects, appointments, security, support, or billing. We may also send marketing emails where permitted by law. You can unsubscribe from promotional emails using the link in the message or by contacting us. Even after unsubscribing, you may continue to receive nonmarketing messages needed to provide Services or complete a transaction.

7. Cookies, local storage, and analytics

The public website does not currently include third-party analytics, advertising pixels, or a cookie-consent platform in its source project. Our hosting platform and portal providers may use cookies, local storage, or similar technologies that are essential for routing, security, fraud prevention, account sessions, preferences, or other requested functionality.

If we later add nonessential analytics, advertising, or tracking technology, we will update this policy and provide any notice or choice required by applicable law before using it.

8. Payments

If you make a payment, our payment processor may collect and process payment card, bank, billing-address, and transaction information under its own terms and privacy notice. NorthWorx may receive limited transaction details, such as payment status, amount, date, and a payment-method description. We do not intentionally store complete payment-card numbers or card security codes.

9. How we disclose information

We do not sell personal information. We may disclose information:

• to hosting, portal, CRM, communications, scheduling, payment, security, professional, and other providers that process information for us;
• to integrations or third parties you direct us to use, or when needed to perform an approved service;
• to a client that controls the applicable account, system, or business data;
• to comply with law, legal process, or enforceable government requests;
• to protect the rights, property, safety, and integrity of NorthWorx, clients, users, or others;
• in connection with a proposed or completed business transaction, subject to appropriate safeguards; or
• with your consent or at your direction.

10. Client-controlled data

NorthWorx may process personal information on behalf of a business client through websites, forms, CRM records, communications, scheduling tools, automations, or other systems that the client controls. In that context, the client determines why and how the information is used, and NorthWorx acts as a service provider or processor under the client’s instructions and applicable agreement.

If your request concerns information controlled by one of our clients, contact that client first. We will assist the client with an appropriate request when required by law or contract.

11. Retention

We retain information only as long as reasonably necessary for the purposes described in this policy, including providing Services, maintaining business and consent records, meeting legal or accounting obligations, resolving disputes, and enforcing agreements. Retention periods vary based on the type of information, the client’s instructions, system backup cycles, legal requirements, and operational needs. We may retain de-identified information where it no longer identifies you.

12. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, provider security features, account authentication, and limited access based on business need. No transmission, system, or storage method can be guaranteed to be completely secure. You are responsible for protecting your credentials and notifying us promptly of suspected unauthorized use.

13. Your choices

Depending on your relationship with us and applicable law, you may ask to access, correct, or delete certain information; close an account; revoke Google access; withdraw consent; opt out of marketing email or SMS; or object to or limit certain processing. Some information may be retained when required for legal, security, transaction, or recordkeeping purposes. To submit a request, contact us using the details below. We may need to verify your identity and authority.

14. U.S. state privacy rights

Some U.S. state privacy laws provide eligible residents with rights concerning access, correction, deletion, portability, or certain uses and disclosures of personal information. These laws apply only when their scope and business thresholds are met, and exemptions may apply. NorthWorx does not sell personal information or use it for cross-context behavioral advertising. If an applicable law gives you a right to appeal our response, you may do so by replying to our decision or using the contact information below.

You may use an authorized agent where permitted by law. We will not discriminate against you for exercising an applicable privacy right.

15. Children’s privacy

The Services are designed for businesses and adults and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided information to us, contact us so we can review and take appropriate action.

16. External services and links

The Services may link to or integrate with third-party platforms, including Google, HighLevel/LeadConnector, social networks, payment processors, hosting platforms, and client-selected tools. Their privacy practices are governed by their own policies. A link or integration does not mean NorthWorx controls or endorses the third party’s privacy practices.

17. Changes to this policy

We may update this Privacy Policy to reflect changes in the Services, our practices, or applicable requirements. We will post the updated version on this page and revise the “Last updated” date. If required, we will provide additional notice or obtain consent.
