A useful Google Business Profile upkeep process protects business ownership, checks public facts against the real business, reviews only the features available and relevant to that profile, handles reviews without manipulation, and records what platform metrics actually mean. This checklist supports routine owner review; it does not determine every eligibility question, guarantee that Google will accept or display an edit, or promise visibility, rankings, reviews, calls, bookings, leads, customers, or revenue.
1. Protect ownership and delegated access
The business should retain primary ownership of its profile. Each authorized person should use a separate Google Account and receive only the owner or manager role needed for that person’s responsibilities; Google provides these roles so a password does not need to be shared.
Confirm who can change access, who approves important edits, and how a former employee, agency, or contractor will be removed. Recovery checks, an access register, and an offboarding record are NorthWorx operating safeguards—not a guarantee that Google will recover an account or resolve an ownership dispute.
Never send NorthWorx a password, 2FA code, recovery code, or other reusable credential. Use Google’s supported invitation and ownership processes.

2. Keep business information accurate and supportable
Compare the profile with the business customers can actually reach. The name, primary category, address or service-area behavior, phone, regular and special hours, website, and described services should reflect the real business rather than keywords or locations created to target searches.
Storefront, service-area, and hybrid businesses have different address and service-area rules. Eligibility questions and unusual business arrangements may require current Google guidance or support; completing this checklist does not certify eligibility or prevent suspension.
Treat an edit, Google’s review or approval of that edit, and the way information ultimately appears on Search or Maps as separate states. Processing and display remain controlled by Google. Published hours also do not automatically explain appointment-only or no-walk-in policies, so important customer limitations should be stated clearly wherever the available profile fields allow.

3. Review features available and relevant to your profile
Features available and relevant to your profile may include services, posts, offers, products, questions and answers, messaging, bookings, links, photos, videos, performance data, and other capabilities. Availability can vary by business category, location and region, profile type, verification state, device or interface, provider configuration, and Google’s current product availability and policies.
Do not activate or maintain a feature merely because it exists. Ask whether it is available, relevant to a real customer need, accurate, supportable with approved information, and operationally maintainable by a named person. Services should describe work the business actually offers; media should be authentic and privacy-safe; links should lead to the intended maintained path; and time-sensitive content should have an owner who can update or remove it.
More features do not automatically produce better visibility or business results. Google may review, reject, delay, archive, reposition, or display submitted content differently, and some features may disappear or change.

4. Protect review integrity and respond responsibly
Review requests should invite honest feedback after a genuine customer experience. Do not offer payment, discounts, free goods or services, or another benefit in exchange for posting, revising, or removing a review. Do not fabricate reviews, request only from people expected to respond positively, or use private feedback to obstruct a dissatisfied customer’s ordinary public review path.
A response appears publicly as the business. Verify the relevant facts, protect personal information, use a professional tone, and route sensitive, disputed, legal, safety, billing, or uncertain matters to an authorized person. Not every review requires a response, and AI-assisted wording must not bypass the required human review process.
A review that appears to violate policy may be flagged, but flagging does not guarantee removal. Google controls policy enforcement, review visibility, processing, restrictions, and removal decisions.

- Public replies protect privacy and receive appropriate human review

5. Measure and maintain without overclaiming
Google Business Profile performance data is available only for verified profiles, and only metrics that apply to a business may appear. Record the metric name, Google’s current definition, source, date range, availability, and known limitations before using it in a report or decision.
Views, searches, calls, website clicks, direction requests, messages, and bookings describe different platform events and can use different counting or provider rules. They are not automatically unique customers, qualified leads, completed jobs, revenue, or proof that NorthWorx caused a business result. Connect a platform event to a later business outcome only when separate, permission-cleared evidence supports that connection.
Google does not prescribe this checklist’s maintenance cadence. NorthWorx recommends reviewing the profile after material business changes and on a repeatable schedule appropriate to seasonality, risk, available features, and the business’s ability to maintain accurate information. Give every correction or follow-up an owner, evidence, and a way to verify completion.
